GENERAL TERMS & CONDITIONS

  1. BOOKING REQUIREMENTS
  • Your Details

To book you onto a Tour we require some personal information from you. We require your full name (as it appears in your passport), date of birth, gender, email address, any special medical or dietary requirements, and if the Tour you have booked includes a flight, we will also need your passport number.

  • Passport & Visa Requirement

You must have a valid passport for the duration of your Tour and for 6 months thereafter. It is your responsibility to have a valid visa for the country or countries that you will be going to on the Tour. We will not be held responsible if you are denied entry to a country due to an invalid passport or lack of visa.

  • Children Policy

For Package Tour/ two-day tours up:

Children under 2 years old: 25% of adult’s price (sharing bed with parents)

Children from 2 – 10 years old: 75% of adult’s price (sharing bed with parents). 100% of adult price if request separate bed.

Children over 10 years old: 100% of adult’s price

All tickets: Based on each airline policy, the price for children will be applied at time of booking.

  1. MAKING A BOOKING:
  • Reservation

Once a reservation is made, a booking confirmation and invoice will be sent to your appointed email by our Travel Expert. A deposit will be required upon the booking confirmation, and the balance will be settled as per our deposit and payment policies below.

  • Deposit & Down Payment

You will be required to pay a deposit when booking with Open Asia Travel. The deposit will be 10% of the full payment. All deposits are non-refundable. Final payment is required no later than 45 days prior to departure unless otherwise stated. Some airfares or services must be paid in full at the time of booking.

Payment can be made either by bank transfer, or using a major credit card such as Visa, Mastercard, or American Express (our prices do not include any occurred transaction fee, thus please add a 3,85% fee for Visa, Mastercard; or 4,5% fee for American Express to the total amount of your payment each time);

  1. ACCOMMODATION

Early check-in or late check out is not included in the tour prices.

Under the international hospitality regulations, rooms must be checked out at 12:00 pm on day of departure.

Most hotels allow check-in to take place during the mid-afternoon (14:00 pm). Should you wish to have your room ready for immediate check-in upon arrival, Open Asia Travel can arrange this for an additional charge. Please ask for details and prices.

  1. FLIGHT AND TRAIN TRANSPORTATION

Open Asia Travel takes NO responsibility and will not reimburse in the following cases:

Unused tickets during the trip.

Any personal items lost or forgotten during transportation.

Independent problems or issues to the transportation supplier.

Default records due to invalid ID or lack of ID and/or necessary documents required for the trip.

In case of these occurring issues, customers cannot claim any reimbursement.

  1. CULTURAL REMINDER

Visitors should dress appropriately and politely when visiting pagodas, temples and churches (Please do not wear singlets, shorts, short skirts, and revealing clothes).

  1. CANCELLATION POLICY

We would deeply regret upon your decision to cancel your trip under any cases, however we realize that there are many valid reasons that this can happen.

In the event of cancellation, the cancellation fee will be applied as below:

  • More than 60 days before departure: no charge. We Guarantee 100% money back + Airfare cancellation fees (according to the airline’s cancellation policy) if any
  • Between 60 days and 45 days before departure: 10% of the tour cost + Airfare cancellation fees (according to the airline’s cancellation policy) if any
  • Between 45 days and 15 days before departure: 45 % of the tour cost + Airfare cancellation fees (according to the airline’s cancellation policy) if any
  • Between 15 days and 7 days before departure: 75 % of the tour cost + Airfare cancellation fees (according to the airline’s cancellation policy) if any
  • Less than 7 days before departure: 100% of the tour cost
  • No show: 100% cancellation charge

Any cancellations should be made in writing.

No refund will be given for any unused service after the trip has commenced.

  1. COMPLAINTS AND CLAIMS

Shall you feel unsatisfied with any service Open Asia Travel has provided, please notify your local tour guide or your travel advisor to avoid the potential for similar problems happening again during your trip.

In the event of a complaint or claim for compensation, you must inform us by email, regular mail, or facsimile in writing within 15 days from the end of your tour. Relevant receipts and substantiating evidence must be attached to the letter of claim. Open Asia Travel will not be liable for any claims made later than 15 days after the completion of your tour.

  1. LIABILITY, RESPONSIBILITY & FORCE MAJEURE

Open Asia Travel will not be liable for any loss, injury, or damage to person(s), property in connection with climatic conditions, sea, fire, breakdown of machinery or equipment, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions or conditions beyond Open Asia Travel’s control. Neither Open Asia Travel nor any of its affiliates or subsidiaries shall be or become liable or responsible for any additional expenses of liability sustained or incurred by the tour member as a result of any of the aforementioned causes.

Open Asia Travel shall not be responsible for any wrongful or negligent acts, omissions, or the failure of any equipment operated by any suppliers such as transportation carriers, cruises, and hotels, or any other party not directly owned or controlled by Open Asia Travel.

Open Asia Travel is not responsible for clients’ failure to comply with customs regulations.

All purchases made during the trip are under the responsibility of the customer. We advise not to buy any items made of protected species.

Open Asia Travel is not responsible for the stealth and loss of any valuable item or belonging that is due to the negligence of the customer.

Open Asia Travel reserves the right to substitute hotels, flights, or cruise ships, to alter itineraries, or to cancel the tour prior to departure. If Open Asia Travel has cancelled any tour prior to the commencement of the tour, Open Asia Travel is liable for a full refund of the money received by Open Asia Travel.

Many of Open Asia Travel tour packages include activities which require special precaution. Such activities include boarding and going ashore by boats, climbing hills, entering/exiting tombs and caves, etc. You will receive help and advice from our representatives but all activities are undertaken at your own risk. Open Asia Travel, its employees and agents cannot be responsible for any action or event that occurs after set employees and agents have exercised their duty and taken the necessary measures.

Open Asia Travel reserves the right to modify or rescind the terms and conditions in whole, or in part at any time with or without notice.
